We are looking for a dynamic and enthusiastic Business Manager to join our expanding team. You will play a key role in the day-to-day financial operations as well as line management of Site Manager, Catering Manager and Finance Team, Reprographics and oversight of School IT Team.

Excellent communication skills are required together with finance and business experience preferably within an educational setting although not essential A recognised Accountancy Qualification is essential.

VISION AND PURPOSE:

  • To have finance and operations responsibility for Westcliff High School for Girls.
  • To monitor financial performance compared to budget and prepare monthly management accounts for the Headteacher, Trust Deputy COO and the trustees.
  • To prepare the annual budget for the school.
  • To oversee the day-to-day financial operations of the school as well as line management of the Site Manager, Catering Manager, Finance team and Reprographics.

MAIN DUTIES AND RESPONSIBILITIES:

Finance

Provide management of the schools' finances - working closely with the Headteacher to enable the school to achieve its educational aims.
Take responsibility for the annual budget; developing, setting and monitoring the annual budget including departmental budgets and trip finances.
To produce monthly management accounts to the specification laid out by the Deputy COO.
Control and monitor the school's finances & contracts, authorising orders within delegated powers and ensuring reconciliations are carried out regularly and compliance with Trust Financial Regulations, the Funding Agreement and the Academies Handbook and ensuring value for money.
Support budget holders with timely provision of accurate budget monitoring reports.
Identify and inform the Trust team of the cause of significant variances budget and take prompt corrective action.
Assist with the audit process and provide the necessary information required of the auditors for the school.
Ensure that effective credit controls are in place in respect of income, e.g, catering, lettings.
Ensure all appropriate funding is applied for/claimed/received - SEN, ESFA, 6th form funding, other ad hoc including gift aid claims.
Oversee the lettings contracts with the school and explore opportunities to increase the commercial revenue of the school.
To review the monthly payroll and provide variance analysis to the Headteacher before approval on the payroll system, have oversight of the accuracy of payroll with reference to the budget/known changes and assist the Trust Finance team with entering on the financial accounting system.
Ensure timely and accurate processing of income and expenditure on the accounting system through oversight of the Finance team.
Monitor the application of 16-19 bursary and Free School Meals and payments to pupils in line with funding guidance.
To carry out appraisals for the Finance and Reprographics Teams.


Health and Safety

To monitor & implement the SEEAT Health & Safety Policy including all Risk Assessment procedures and ensure compliance with regulations.
To advise WHSG staff on H&S as appropriate.
To report to COO and Headteacher on Health & Safety matters.
To take charge of Health & Safety throughout the school including emergency procedures, fire safety and school lockdown procedures.
Chair termly Health & Safety committee meetings.
Monitor and oversee compliance of the school using the iAM Compliant platform, liaising with external consultants and the Trust team.
To provide any required updates on H&S to the LGB if required in line with the SEEAT scheme of delegation.
To report any RIDDOR notifiable incidents for the school (after discussion with SEEAT COO).


Premises

To line manage the Site Manager and have oversight of all facilities related matters alongside the Site Manager including:
The overall management, security and maintenance of the buildings, facilities, grounds, fabric and furnishings of the school.
Ensuring the appropriate placing and monitoring of all service contracts including cleaning.
When required, deal with external agencies delivering services to the school, and deal with aspects of tendering, including compulsory, competitive tendering alongside the site manager and Trust team where necessary.
Purchase, repair and maintenance of all furniture, equipment and fittings.
To ensure the site manager monitors the work of on-site contractors, caretakers and cleaning staff and arrange for estimates for work.
To liaise with insurers, providing necessary information, and administering insurance claims.
To liaise with Trust COO and Westcliff High School for Boys (WHSB) as necessary on premises related matters.
To meet with the Headteacher to provide and update on the current condition of the school and premises priorities.
To oversee the project management of small-scale capital projects within the school.
Act as the school point of contact/liaison with external project managers on large-scale capital projects.
To carry out the appraisal of the Site Manager.


Catering

To line-manage the Catering Manager and Coffee Shop staff and have oversight of all catering related matters including liaising with WHSB regarding the shared function.
To support the Catering Manager with personnel issues in respect of catering staff, as necessary.
To monitor the catering function in terms of finance, facilities, resources.
To manage the school cashless catering service.
Prepare catering trading accounts for the canteen and school coffee shop and report canteen accounts monthly to WHSB.
To carry out the appraisal of the Catering Manager and Coffee Shop staff.


Senior Leadership

Attend weekly SLT meetings.
Oversee and monitor the appraisals of all school support staff making recommendations on annual pay progression to the Headteacher.
Be the SLT lead for school policies and website compliance.
