Admissions Administrator

Job Title: Admissions Administrator

School: Woodend Farm School
Location: Primary Site - Witham / Secondary Site - Great Baddow (opening June)
Hours: Part‑time, 10am-2pm, Monday to Friday (20 hours per week)
Working Pattern: Term time only

Salary: £11,337.32 - £12,042.00pa actual pro rata salary

Contract: Permanent (subject to probation)
Start Date: September 2026 (earlier start may be available for the right candidate)


Purpose of the Role

Woodend Farm School is a specialist independent school supporting pupils with special educational needs with an age range of 6-16 years. We are seeking an organised, proactive and compassionate Admissions Administrator to manage and coordinate the admissions process across our school.

The role will oversee admissions from initial enquiry through to placement, working closely with parents/carers, local authorities, school leaders and external professionals. The successful candidate will play a key role in ensuring a clear, compliant and child‑centred admissions journey.


Key Responsibilities

Admissions Administration

Act as the first point of contact for admissions enquiries from parents/carers, local authorities and other professionals
Manage the admissions process from initial enquiry through consultation, assessment, tribunal (where applicable) and offer of placement
Coordinate and track admissions paperwork, including EHCPs, consultation responses, reports and supporting documentation
Liaise with Local Authority SEN teams to meet statutory timescales and information requests
Prepare and issue formal offer letters and admissions documentation
Maintain accurate admissions records and trackers across both school sites
Support school leaders with admissions planning and pupil number forecasting
Support with arranging Annual Review Meetings and corresponding paperwork
Coordination and Communication

Arrange school visits, consultations, meetings and transition planning activities
Communicate clearly and sensitively with families, recognising the needs of pupils with complex SEND profiles
Work collaboratively with internal teams to ensure placements are appropriate, well‑planned, and aligned with pupil need
Data Protection and Compliance

Ensure admissions data is processed in line with UK GDPR, the Data Protection Act 2018, and school policies
Maintain secure, accurate and confidential admissions records at all times
General Administrative Support

Provide wider administrative support as required, including filing, correspondence, maintaining records and data entry
Support the operational needs of the school as required during term time

Person Specification

Essential

Strong administrative and organisational skills with excellent attention to detail
Experience handling sensitive and confidential information
Confident communicator with strong written and verbal skills
Ability to manage multiple cases and deadlines effectively
Competent IT skills, including Microsoft Office and email systems
Professional, calm and empathetic approach when dealing with families


Desirable

Experience in school admissions, SEN services or education administration
Knowledge of EHCP processes and Local Authority consultation procedures
Experience working in an SEN or specialist education setting
Familiarity with mediation or SEND tribunal processes

Additional Information

This is a term‑time only role, aligned with the Essex County Council school calendar
The role will support both Woodend Farm School sites, with flexibility required as the secondary provision opens in June
The post is subject to safer recruitment checks, including an enhanced DBS
