Job Title: Finance & HR Assistant
Reporting to: CFO

Contract type: Permanent part time (10 hours per week - Mon 5 hours, Wed 5 hours, with some flexibility around working pattern)

Pay range: Scale 6, Points 13-17 (£6,350-£6,778 per annum)

Main Purpose
To provide an effective and efficient finance and HR support to the CFO.

Duties and Responsibilities - including but not limited to:
Finance

  • To assist with financial administration such as placing orders and preparing cheques or Bacs
  • Be responsible for checking full receipt of orders, annotating the records appropriately. Checking statements, as and when received, to ensure timely payment of invoices
  • Be responsible for the issuing of invoices and collection of monies due to the school
  • Be responsible for processing invoices and credit notes
  • Maintain manual and computerised financial records
  • To carry out all financial administration in accordance with appropriate school financial regulations and policies
  • Support the CFO in maintaining an up to date filing system for archive financial records
  • Be responsible for maintaining the School Inventory
  • Help to ensure the school is following 'Best Value' procedures
  • To assist the CFO with the disposal of IT equipment as and when necessary
  • To assist the CFO in contract procurement and contract management
  • To produce Bank reconciliations
  • To assist with end of year audit

Personnel

  • To ensure that all staff are paid correctly and in accordance with the most up to date pay scales
  • To maintain manual and computerised staff records
  • Administration arising from, appointments, revision and resignation of staff
  • Returns relating to staff absence and sickness
  • Completion of Payroll forms (e.g. Extra Duties, Overtime, Travel Claims)
  • Pay Queries
  • Administrative tasks in connection with the recruitment of staff
  • Completion of staff contracts of employment

Clerical/Administrative

  • To assist with the monitoring and maintenance of stock and the order supplies as necessary.

General

  • To participate in the performance and development review process, taking personal responsibility for identification of learning, development and training opportunities in discussion with line manager.
  • To comply with individual responsibilities, in accordance with the role, for health & safety in the workplace
  • Ensure that all duties and services provided are in accordance with the School's Equal Opportunities Policy

The duties above are neither exclusive nor exhaustive and the post holder may be required by the CFO to carry out appropriate duties within the context of the job, skills and grade.

The Learning Partnership Trust was established in February 2015 by Hatfield Heath Primary School. We are a small Multi-Academy Trust currently consisting of three primary schools (Hatfield Heath Primary School, Roseacres Primary School and Takeley Primary School) all located within the same geographical area in Essex.
