Southend East Community Academy Trust is a Multi-Academy Trust based in Essex, providing education from primary through to post-16, driven by a passionate belief in giving children and young people the very best chance in life to progress and develop.

The successful candidate to this role will have experience of taking minutes at meetings, setting agendas, have excellent written and verbal communication skills, have the ability to work flexibly, cope with pressure and deliver to tight deadlines and possess a high level of integrity to maintain confidentiality of information.

As an exceptionally well-organised individual, you will support the efficient functioning of the Board and its committees, enabling the Trustees to discharge their responsibilities effectively. You will also support the Academy Committees, in particular ensuring high standards amongst the network of clerks, improving processes, and providing quality assurance in policy administration and the publication of statutory information across the Trust.

The focus of the position is giving high quality advice and guidance in addition to professional clerking. Clerking is not only about good organisation and administration, but also, and more importantly, about helping the board understand its role, functions and legal duties. This is crucial in helping the board exercise its functions expediently and confidently, so that it can stay focused on its' core functions.

The main duties of the role are to:

Act as Clerk to allmeetings of the Trust Board setting draft agendas, producing minutes, liaising and coordinating the work of the Boards and related sub-committees.
Provide confidential, high quality administrative support to the Trust Board, the Chief Executive Officer and other members of the Executive Team.
Guide the Chair and board on their responsibilities under the rules and regulations to which they are subject to and on how those responsibilities should be discharged.
Work flexibly to accommodate some evening work, liaising with Chair/Chief Executive to confirm attendance requirements.
Liaise with external advisers such as auditors and solicitors, and arrange meetings on behalf of the Board where necessary.
Co-ordinate the content, publication and distribution of the annual report and accounts and other governance reports and ensure deadlines are met.
Ensure the Trust governance structure is embedded and embraced within the Trust through liaison with the Academy Committees, Clerks, Headteacher and members of the Executive Team
Ensure good information flows within the board and its committees and between senior management and non-executive trustees
The role could also possibly include working across the trust, where clerking for the local Academy Committees (formerly Governing Bodies) require a new Clerk. The successful candidate therefore, will be required to be flexible and able to travel between locations to carry out their duties. Flexible working arrangements will be seriously considered.

The Central Multi-Academy Trust Head Office is based at SECAT House, which is in the extensive grounds of Thorpedene Primary School. The Chief Executive Officer, Chief Operating Officer and PA to the Executive Team, all work from SECAT House.

The Central Finance Team, the Central ICT Team, the Central Estates Team and the Central HR Team are all based in Shoeburyness High School .

Each school has a Local Academy Committee, to which the Trust Board delegate responsibilities.
