Apprentice Receptionist/Admin Assistant:
Pay Scale: £6.40 per hour (based on the National Minimum Wage for an apprentice in their first year)
Hours: 30 per week, Term Time Only
Required: June 2024
Qualification to be Studied: Level 3 Business Administration Apprenticeship
Duration: Approximately 18 months
Prospects: There may be an opportunity for permanent employment after satisfactory completion of the apprenticeship programme
Treetops School is looking for an apprentice to join our busy admin team.
The successful candidate will work as the school receptionist, as part of the admin team, whilst studying for a Level 3 Business Administration Apprenticeship. You will have one day a week devoted to college work and will be fully supported in your studies by Chelmsford College and your manager within the school.
We are a special academy catering for pupils with a wide range of needs including moderate learning difficulties, speech and communication difficulties, autism and general developmental delay. We have been judged outstanding by Ofsted in our last four inspections, the most recent being February 2020.
Duties and Responsibilities:
Reception
- To be the first point of contact for visitors to the school, extending a warm welcome to callers - including parents, visitors, contractors and delivery staff.
- To deal effectively with telephone calls, transferring callers to relevant staff and taking and passing on messages as required.
- To follow safeguarding procedures by issuing passes and lanyards to visitors, ensuring that visitors are signed into the school and checking DBS information for visitors.
- Communicating with parents regarding all aspects of school life, receiving and passing on information between parents and teachers in a timely manner with minimum disruption to lessons.
- To ensure that the reception area remains tidy and that literature and forms are updated and replenished as necessary.
- To receive and sign for all packages and deliveries
- To sort and distribute all incoming post.
- To frank all outgoing mail.
General Administration Duties
- Collate registers and check absences.
- Check dinner registers and liaise with school kitchen
- Maintaining and updating school information, records and databases.
- Assist with the delivery of stationery, materials and resources to classes and ensure that stock levels are maintained.
- Assist with arrangements for visits by school nurse, photographer, etc.
- Assist with arrangements for recruitment exercises and events
Person Specification
- Good IT skills and the ability to use Microsoft office packages e.g. word and excel
- Excellent interpersonal skills; the ability to communicate with members of the public and wider school community
- Polite and professional manner
- Understand the importance of confidentiality
- The ability to work as part of a busy team and also to use initiative
- The ability to prioritise work
Essential Qualifications
English and Maths GCSE level A-C (grade 9-5)
