Job Purpose

To contribute to the smooth running of the school by carrying out a range of duties and overseeing, and being present during the use of the premises, during the evening, weekends or public holidays and undertaking relevant duties associated with this use of the premises.

Assisting the organising of the caretaking and cleaning operations of the academy and undertaking effective supervision, caretaking, maintenance, health & safety and security of the site and related resources.

Responsible to: Regional Estates Manager, responsible for:

participating in the performance and development review process, taking personal responsibility for identification of learning, development and training opportunities in discussion with line manager
complying with individual responsibilities, in accordance with the role, for health & safety in the workplace
ensuring that all duties and services provided are in accordance with the academy's Equal Opportunities Policy.

Specific Responsibilities:
To attend and carry out security and any safety procedures for the buildings and grounds, including routine and non-routine opening of premises and grounds and reception of visitors for lettings
To carry out primary and secondary cleaning as part of the cleaning team When required
site maintenance, repair and planned improvements
site security
health and safety
covering Site Manager responsibilities in his absence

Lettings

Dealing with enquiries from hirers, users, external agencies, contractors and workmen as required.
Attempting to prevent trespass and the unauthorised parking of vehicles on the premises or grounds.
Preparing the premises for any out of school activities and clearing up after these activities
Setting out reasonable equipment and/or furniture for lettings
Operating the heating plant so that required temperatures are maintained in the premises and that an adequate supply of hot water is available. Carry out frost precaution procedures.
Report any problems/issues arising from the use of the premises including drawing attention of the Site Manager, as appropriate, any issues relating to the use of the premises which may need attention (e.g. repairs and maintenance, conduct of users, etc.)

Site Team
assist in the daily management and operation of the site team:
ensuring that agreed working rotas (school and holiday working) are carried out
adapting rotas to cover absence or other circumstances
assist in ensuring the provision of adequate supplies of caretaking equipment and materials
assist in ensuring that all caretaking equipment is in safe working condition

Cleaning and Cleaning Team
carry out any cleaning duties when required around the academy at the direction of the Estates Manager.
To carry out secondary cleaning, washing walls, washing diffusers/light fitments, deep clean to toilets, etc.
assist in monitoring the quality of cleaning in areas and taking any necessary action to address inadequacies
ensuring that all cleaning equipment is in a safe working condition
ensuring that all areas within the confines of the academy are litter free
ensuring that all drains and gullies are free flowing and clean

Security Supervision

assist in the management and operation of site security:
acting as keyholder and carrying out security procedures for the buildings and grounds
the routine and non-routine opening and closing of premises and grounds
responding to calls outside normal working hours as a result of break-ins etc. and/or the setting off of the burglar alarm
providing access to the premises and classrooms in the event of snow or minor flooding or similar emergency situations
attempting to prevent unauthorised access onto the academy premises or grounds. (Note: in fulfilling this responsibility all employees are expected to work within established school procedures and the Code of Practice No. 32(S) Managing Violence in Schools)
tape management of CCTV system
assisting with monitoring of CCTV system and liaison with contractor to carry out maintenance and repair of cameras and lights
monitoring the operation of all external and self-closing doors
monitoring the security of out-buildings
assisting with liaison and supervision of all on site contractors

Maintenance
be responsible for the management and operation of all site maintenance, repair and planned improvements in conjunction with Site Manager
operating the heating plant so that the required temperatures are maintained in the premises and an adequate supply of hot water is available. Carrying out frost precaution procedures.
making arrangements for and carrying out of routine procedures or inspections on ancillary equipment, e.g. checking automatic pumps and areas subject to flooding, and the maintenance of batteries
testing portable electrical equipment if trained and accredited to do so
undertaking all procedures to manage the risks associated with Legionella
carrying out academy based procedures in the event of fire, flood, breaking and entering, accident or major damage.
assist in the resolution of all site-related issues and to identify and prioritise maintenance requirements and prepare and organise work programmes
assist in the direction of the site team (including the postholder) to carry out first line repairs and maintenance which are not beyond the competence of the staff concerned: -
plumbing work - e.g. repairing a leaking pipe, simple installation work, such as plumbing in a new tap, or replacing washer etc.
redecoration as appropriate
plastering work such as repairing cracked or broken plaster, making good damaged walls for example following the removal of say, shelving or similar fittings
fencing and boundary repairs e.g. mending broken fencing panels or stakes, repairing holes in chain link fences etc.
glazing work, such as replacing smaller windows, re-beading and re-puttying glass panes, internal and external. N.B. Specialist contractors would be used for repairs to large windowpanes or double-glazed units or windows at a high level.
assisting in the drawing up of specifications, for work to be undertaken by contractors.
assisting in the arrangement for works to be undertaken and monitoring the progress of projects involving outside contractors.

Janitorial
assist in the management, organisation and carrying out of all janitorial duties:
moving of furniture and equipment
setting out for assemblies and other special events
delivery and conveyance of stores, materials and goods (in conjunction with Finance Officer)
preparing the premises for any out of school activities and clearing up after these activities
liaison with contractors supplying services - entry mats, towels, etc.

Health & safety
ensuring the implementation and compliance with appropriate Codes of Practice throughout the school (in relation to premises, caretaking and cleaning issues) in liaison with the Site Manager
assisting in monitoring the appropriate (premises, caretaking and cleaning related) Health and Safety procedures in use in the academy and reporting any issues to the Site Manager.

General
Such other duties relating to the use of the premises and site as may be necessary from time to time in accordance with established local practice or with the reasonable requirements of the school and Governing Body.
The duties may be varied by the Principal and/or Governing Body to meet changed circumstances in a manner compatible with the post held.
